Job Title: Project Administrative Assistant

Ref: STS2022-022
Location: Ibadan, Oyo
Recruitment Type: STS National (6months renewable contract)

Duties

  • Make logistical arrangements for meetings, seminars, conferences, and duty travels (booking of flight and hotel, preparation of travel authorization (TA) requests, processing visa requests, and helping with payments of travel advances in case of need.
  • Develop and maintain an efficient filing system and database on project activities and stakeholders.
  • Provide general project administrative support.
  • Participate and document deliberations during project meetings.
  • Provide support for meetings, workshops, and training.
  • Perform clerical duties.
  • Perform any other jobrelated task as may be assigned by the Supervisors.

Qualifications

  • B.Sc / HND in Business Administration, Public Administration, International Relations and Diplomacy or any other related field with a minimum of two (2) years’ experience performing a similar role in a wellstructured environment.

Competencies:
The ideal candidate must:

  • Have good communication skills (writing, reading, and speaking).
  • Ability to use basic Microsoft software (word, excel, PowerPoint).
  • Have strong multitasking abilities and problem solving skills.

Job Title: Research Associate (Agronomy)

Description

  • The International Institute of Tropical Agriculture on behalf of CIP seeks suitable Nigerian for the position below at the CIP project location in Jos.
  • NPSSP aims to support potato seed security in Nigeria by building local capacity within the public and private sector to supply adequate amounts of quality seed of in-demand and locally adapted varieties that meet the main market segment, while supporting smallholder farmers in maximizing their investments in seed through building capacity in on-farm seed quality management, good agricultural practices for improving soil health and fertility.

Duties

  • Design, plan and manage multi-location on-farm experimental trials.
  • Provide technical backstopping to farmers, extension workers and researchers on implementing on multi-location on-farm trials.
  • Build capacity of partners, extension agents and/or enumerators in the use of digital data collection tools to collect data in multi-location field trials.
  • Monitor progress with digital data collection by different enumerators and follow up on overall progress with data submission.
  • Conduct capacity building interventions for ware potato producers, farmers, partners, private sector enterprises on soil fertility management and other good agricultural practices.
  • Coordinate and support planning and implementation of field days and training events.
  • Work with partners to coordinate and monitor activities, such as extension training of trainers followed by farmer training, and monitor collection of field data.
  • Oversee day-to-day management and implementation of the project activities in close collaboration with project partners.
  • Present the activities, results, impacts and outcomes of the project at professional, donor and other stakeholders’ meetings.
  • Produce progress reports of the field activities including maintaining database, managing and analyzing technical and economic data, write briefs, journal article and project technical reports.
  • Document lessons learned and best practices on the project development, implementation, and oversight activities.
  • Work effectively in the project team to develop a collegial, mutually supportive, and high-performance work atmosphere.
  • Proactively take responsibility to ensure safety of humans and property and implement the project activities in timely manner in keeping with the budgets allocated.
  • Carry out any job-related duties as may be assigned by the Country Team Leader or other senior members of the organization.

Qualifications

  • Master’s Degree in Agriculture or related discipline with minimum of five (5) years’ hands on training and field experience in agronomy and soil fertility management of vegetative propagated crops.

Competencies:
The ideal candidate must:

  • Be an excellent team player.
  • Be entrepreneurial and proactive performer
  • Have knowledge of local language (Plateau State will be helpful).
  • Have advanced written and oral communication skills in English.

Job Title: Project Administrator

Duties

  • Assist the project manager(s) with day-to-day project administrative processes and functions.
  • Develop and maintain an efficient filing system/database on project activities/milestones and stakeholders.
  • Participate in the development of sub-grant agreements/amendments and work with Project Development and Administration Unit (PDAU) to manage these agreements in line with donor agreements.
  • Monitor timely completion of (quarterly, mid-term, annual) project milestones and liaise with implementing partners to ensure high quality technical and financial reports are submitted in a timely manner to PDAU, finance and Project M&E officer.
  • Coordinate, set up Zoom/Teams links, and record minutes for regular meetings for the project management team, project advisory committee and other meetings with external/internal project partners.
  • Handle logistical arrangements for project meetings, workshops, duty travels and accommodation (flight and hotel booking, travel authorization requests, visa requests, and travel advances as needed).
  • Manage project related inventories, coordinate local and international purchases and follow up with finance and supply chain on processing invoices and payments.
  • Liaise with the project finance officer and provide financial oversight to the project manager(s) on project budgeting, expenditures and burn rate.
  • Follow up on engagement, delivery, and payments to Project consultants and short-term staff.
  • Supervise junior staff in the project coordination team and assist in annual performance appraisals.
  • Assist with preparing project reports and other communication materials such as project research highlights, stories, blogs and other social media posts.
  • Build and maintain good working relationships with all Project stakeholders and support linkages with the Seed Equal Genetic Innovation Initiative as needed.
  • Perform any other job-related task as may be assigned by the supervisor.

Qualification

  • Master’s in Business Administration, Project Management or any other related field with a minimum of eight (8) years’ experience performing a similar or related role in a well-structured organization.

Competencies:
The ideal candidate must:

  • Be proficient in MS-Office (Word, Excel, PowerPoint, Outlook) and online
  • meeting/file sharing platforms (eg MS Teams, Google Docs, Zoom etc), with ability to quickly learn new applications.
  • Be well organized, able to multitask and work under pressure to meet deadlines with keen attention to detail.

  • Drive vehicles within and outside the duty station.
