Job Title: Executive Assistant / Operations Excellence Advisor

Location: Abuja (FCT)
Employment Type: Contract

Job Description

  • The Executive Assistant/Operations Excellence Advisor will be responsible for managing the schedules and communications of the CEO.
  • S/he is also responsible for fully and consistently integrating best practices into all our operations.

Principal Duties and Responsibilities

  • Managing the CEO’s calendar, including making appointments and prioritizing the most sensitive matters
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and external parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Support the preparation of Standard Operating Procedures (SOPs) that will guide the day-to-day management of the organization.
  • Ensure the institutionalization of Scorecards and Key Performance Indicators (KPIs) for each department to enhance efficiency across the organization.
  • Coordinate with Project Managers on management improvement initiatives.
  • Assist in solution design and optimization.
  • Drive operational assessment program and conduct validation assessments as needed.
  • Act as a liaison and provide support to the Senior Management Team when the CEO is not in office, including scheduling meetings; drafting agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO.
  • Other duties as assigned.

Qualifications

  • Bachelor’s Degree in Business Administration, Business Management, or other related fields with a minimum of 5 years’ relevant experience.
  • Demonstrated aptitude for analytics, stakeholder management and executive presentations.
  • Thorough understanding of daily program operations.
  • Ability to engage and present to executive-level leadership both internally and externally.
  • Ability to coach employees on issues of continuous improvement and operational excellence.
  • Excellent verbal and written communication skills.
  • Master’s Degree in Business Administration, Business Management, or other related fields with a minimum of 3 years’ relevant experience.
  • Lean Six Sigma certification or any Operations Efficiency certifications preferred
  • Ability to rapidly identify issues and propose solutions, supported by strategic methods and driven by data.

 

 

 

Job Title: IT Assistant

General Summary

  • The IT Assistant will support the IT/Innovations Officer in all IT related issues and provide basic support on Information systems and hardware configurations.

Principal Duties and Responsibilities

  • Support and maintain in-house computer systems, desktops, and peripherals, this includes installing, configuring, testing, monitoring, diagnosing, repairing, maintaining, and upgrading all hardware and equipment while ensuring optimal workstation performance.
  • Support in installing and configuring cloud servers such as Azure, Office 365 and other network resources for the office and the respective users.
  • Assist in developing long-term strategies and capacity planning for meeting future computer hardware needs.
  • Develop minimum security baseline configuration such as anti-malware; data loss prevention solutions; andsystems securitysettings for workstations/laptops.
  • Installation of all user’s relevant applications on the respective user’s computers.
  • Collaborate with the Procurement Team to see that all requested equipment/services are delivered with the right specifications.
  • Code/label of all procured IT equipment in close collaboration with the admin department.
  • Recommend, schedule, and perform PC, hardware and peripheral equipment improvements, upgrades, and repairs.
  • Liaise with, and provide training and support to, end users and staff on computer operation and other issues.
  • Perform on-site analysis, diagnosis, and resolution of complex PC problems for a variety of end-users, and recommend and implement corrective hardware solutions, including off-site repair as needed.
  • Develop and maintain an inventory of all peripheral equipment.
  • Monitor and test PC performance and provide PC performance statistics and reports.
  • Support in carrying out proactive maintenance on all IT equipment inoffices and ensure they are in good working condition.
  • Work with end-users to identify and deliver required PC service levels.
  • Accurately document instances of hardware failure, repair, installation, and removal.
  • Support in the day-to-day user support and all requested supports are rendered within a reasonable time frame for users ofthe office.
  • Support development and implementation of new hardware installations.
  • Support the IT/ Innovations officer to install and configure new networks on employees’ systems.
  • This job description is not intended to be all-inclusive, and the employee will also perform other related tasks as required and be responsible for reporting and communicating of progress and achievement of the specific assigned task.

Qualifications

  • Bachelor’s Degree in Computer Engineering, Computer Science, Telecommunications Engineering, Electrical Engineering, or related fields.
  • Professional certificate(s) and/or training in the IT-related fields.
  • Minimum of 2 years of work experience in similar responsibilities is required.
  • Hands-on hardware troubleshooting experience.
  • Excellent technical knowledge of Cloud servers- such as Azure, Office 365, etc.
  • Excellent technical knowledge of systems security policy and compliance.
  • Extensive equipment support experience with PCs.
  • Must be proactive and strategic in approach to work.
  • Excellent attention to detail, highly organized, rigorous, self-motivated, a strong sense of responsibility, and ability to work independently.
  • Strong verbal, written and communication skills; approachable, diplomatic, able to maintain confidentiality; able to work effectively in diverse, cross-cultural teams in a complex, multi-site work environment.
  • Working technical knowledge of current network protocols, operating systems, and standards.
  • Effective interpersonal skills and relationship-building skills.
  • Analytical and problem-solving abilities.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Ability to work in a team-oriented, collaborative environment.
  • Fluency in English required.

 

 

 

Job Title: Compliance Officer

Location: Abuja
Employment Type: Full-time

Responsibilities

  • Monitor all operational processes or procedures using a compliance management system to ensure that all legal regulations and ethical standards are adhered to.
  • Participate in statewide in-country internal control and compliance reviews as well as the implementation of a mitigation plan where required.
  • Participate in project kickoff /closure meetings to share lessons learnt from previous projects and highlight donor guidelines.
  • Support external audit and the due diligence activities
  • Improve on existing procedures and the quality of internal control, based on international best practices, donors’ requirements, and results of internal & external audits.
  • Promote adherence to Code of Conduct and other applicable policies.
  • Participate in the investigations of any unethical practice if/where it arises within the organization.
  • Provide insight on issues that could negatively impact the organization.
  • Periodically perform a risk assessment of existing procedures and practices.
  • Perform any other related activities as assigned by supervisor.

Qualification

  • A Bachelor’s Degree in Accounting, Finance, Law or in relation with the position.
  • Candidates with CFE, CAMS and ICAN or ACCA qualification or equivalent.
  • 1 – 2 years of previous work experience in Audit (external and/or internal) or Compliance.
  • Advanced computer skills in MS Office programs
  • Excellent communication and writing skills in English.
  • Analytical, with an eye for detail and good interpersonal skills
  • Organized, efficient and timely in managing assigned tasks
  • Professional in appearance and mannerisms with exemplary ethical standards
  • Experience working with international NGOs, local civil society organizations, government, bilateral and multilateral donors in a multi-cultural, politically sensitive environment is an advantage.
